How do I enrol with the SHAC?
For enrolment into the SHAC for 2022 and beyond, please click New Enrolments in the menu list above.

How long will I be placed on the waiting list? Will I be notified when a spot opens up?
Our admin team will communicate to families when a position becomes available and a formal offer can be made.

How do I make or alter a booking?
Any required changes to existing bookings can be emailed to admin@sunnhillssoshc.org. Changes will be accommodated dependent on availability.
Casual bookings can be made via the KT Connect Parent App at any time.

How do I permanently cancel a booking?
To cancel a permanent booking you will need to email The SHAC at admin@sunnhillsoshc.org.. A two-week notice period is required for all cancellations. Please note, due to Centrelink's Cessation of Care guidelines it is best that your child attends on their last booking.

How do I add a guest to sign in/out my child?
To add a person to the list of those authorised to collect your child from The SHAC, you can email admin@sunnhillssoshc.org with the details of the person you wish to add.

Why do I need to authorise someone to collect my child?
When arranging an authorised person to collect your child on behalf of a parent we require this in writing to meet the obligation under the National Law and Regulations (Regulation 99). All authorisations must be updated by via the enrolment form or by sending an email to our admin team to advise of new contacts to be added.
If they are picking the child up for the first time, please contact the Service and advise the office team the name of the person picking up your child. They will be required to report to the The SHAC office to present their ID for verification against the details you have provided.
As the roll is a legal document, children under the age of 18 must not use the Kiosk (iPad) at any time. You must also never give your phone number and PIN to any other person as these are a way to identify you under the Family Assistance Law.

How do I remove a guest and/or emergency contact from my account?
To remove a contact that is no longer authorised to collect your child/ren, we require this in writing. Please email admin@sunnhillsoshc.org and we will remove this contact on your behalf.

How do I register for extra-curricular activities?
Please visit our Extra-Curricular tab. For External Provider activities, you must contact the relevant provider to complete booking directly through the provider. For The SHAC exclusive activities, please complete the booking form found on the Extra-Curricular tab. Once you have formulated the arrangement, please inform the SHAC and fill out the Extra-Curricular Activities Escort Form which can be found on the Forms & Info tab.

What is the Extra-Curricular Activities Escort Form?
The Extra-Curricular Activities Escort Form must be completed to ensure you provide permission for your child to participate in and be escorted to and from extra-curricular activities when attending The SHAC.

How do I cancel an extra-curricular activity?
To cancel an external provider extra-curricular activity, you must contact the external program provider directly.
To cancel a SHAC Exclusive extra-curricular activity, or to advise the SHAC that your child is no longer attending an external extra-curricular activity, please send an email to the Admin team on admin@sunnhillsoshc.org.

When is the Vacation Care program released?
The Vacation Care program will be released 4 weeks prior to the program commencement date. It can be accessed through the Vacation Care tab above.

How do I enrol my child/ren for Vacation Care?
Please book your required days for Vacation Care through the KT Connect Parent App. Bookings will open 4-weeks prior to the start of the vacation care period and is organised on a first in best dressed basis, meaning you will need to get in early to secure your spot.
If your child has not previously attended care at The SHAC, you will also be required to visit the Enrolments tab and select New Enrolments.

What clothing can my child/ren wear to Vacation Care?
Sun safe clothing (e.g. shirts, or dresses with sleeves) including a hat that provides your child with full coverage and sun protection.
Children are required to wear enclosed shoes to Vacation Care to ensure their safety when climbing and participating in the Educational Program.
The SHAC recommends that you pack a spare change of clothes as children get actively involved in the Educational Program.
On themed days where there may be special clothing requirements, such as water fun days, clothing requirements will be explicitly stated in the day outline found in the Vacation Care program.

What food do I need to provide during Vacation Care program?
You will be required to pack morning tea and lunch for your child during vacation care. The SHAC recommends you pack more food than during term time as they participate rigorously in the Educatioal Program and generally eat more during these days then when at school.
The Service provides children with breakfast, if attending the Service from 6:30am to 8:00am and afternoon tea from 3:00pm-3:30pm (second serving 4:30pm-5:30pm).

How do I organise my Direct Debit details?
Direct Debit is the preferred method of payment utilised at the SHAC. Direct Debit will be deducted from your account on the day and frequency of your choice
Download the Direct Debit Authorisation Form from our Forms page to commence payments. If you need to update your direct debit details at any time, please email our Admin Team.

How do I pay my account and settle existing balances?
All account payments are transitioning to the direct debit system which is fully automated. All accounts are required to be paid via a weekly, fortnightly or monthly payment cycle and must be be kept up-to-date as per our fee policy.
If you have any remaining balances to be settled, please visit the Account section of your KT Connect Parent App to make additional payments. Alternatively, you can visit The SHAC office to arrange payment.

What is Child Care subsidy?
The Childcare Subsidy Package replaced Child Care Benefit and Child Care Rebate In July 2018. The Child Care Subsidy will be paid directly to services which will make child care more affordable for most families.
Three things will determine a family’s level of Child Care Subsidy:

A family’s annual adjusted taxable income will determine the percentage of subsidy they are eligible for;
-
An activity test will determine how many hours of subsidised care families can access, up to a maximum of 100 per fortnight; and
-
The type of child care service will determine the hourly rate cap.
Some basic requirements must be satisfied for an individual to be eligible to receive Child Care Subsidy for a child. These include:
-
the age of the child (must be 13 or under and not attending secondary school);
-
the child meeting immunisation requirements;
-
the individual, or their partner, meeting the residency requirements.

How much do Before School Care and After School Care programs cost?
Program cost for Before School Care is $22.00 (Grade 1 to 6), $23.00 (PREP 2024), and After School Care is $26.00 (Grade 1 to 6), $27.00 (PREP 2024). These prices are for ongoing, permanent bookings.
Casual rates are $25.00 (Grade 1 to 6), $26.00 (PREP 2024) and for After School Care $29.00 (Grade 1 to 6), $30.00 (PREP 2024).

How much does Vacation Care program cost?
When booked before the closing date, the daily rate is $65, This increases to $70 per session if booked after the closing date.
Please note excursions and incursions may have additional charges which will be added to the fee for that day. Please view our Vacation Care Program for day to day costs.
Please note, all fees are subject to Child Care Subsidy rebate if you are eligible.

Do you have any other additional costs/charges?
A Late pickup fee will apply for parents who collect their child after our closing time of 6:00PM.
A late fee of $20 up to the first 15 minutes, then $1.00 per minute thereafter will be charged.

Are your fees eligible for Child Care Subsidy?
The government, via Centrelink, provides assistance for parents with children in care. The system allows for CCS (Child Care Subsidy) based on an income assessment, and an activity test. For a full explanation, please read the flyer, which can be found in our Enrolment Pack Forms, or contact any Centrelink office. Phone 136 150.
IMPORTANT:
Please note that the CCS requires a primary carer to be identified with Centrelink and, for The SHAC system to interact with Centrelink for benefits, the same carer must be identified as Parent/Guardian 1 on the enrolment form.

Do you need my child's medical action plan and medication?
If your child has a diagnosed medical condition they must provide us with (prior to attending):
-
A copy of the medical Action Plan prepared and signed by their GP (if there is one in place);
-
Any reports or information about their medical condition.
Once we are notified of a child who has a Medical Action Plan, the family must fill out a Medical Risk Minimisation Plan (found in our Enrolment Pack Forms) that details important information we must know to be able to support your child’s health and wellbeing.
The Risk Minimisation and Communication Plan is a Regulatory requirement and a required document under the National Law and Regulations.

My child is sick, when and how long should they be excluded from your care?
The aim of exclusion is to reduce the spread of infectious disease. The less contact there is between people who have an infectious disease and people who are at risk of catching the disease, the less chance the disease has of spreading.
Excluding ill children, educators and other staff is an effective way to limit the spread of infection in education and care services.

How do I notify The SHAC when my child will be absent?
Please use the KT Connect Parent App to record absences for your child.
Alternatively, please contact the office via email at admin@sunnhillssoshc.org.

How to provide feedback on the Educational Program?
If you have feedback relating to our program or would like to provide input into the program decision making, we would love to hear from you, either verbally or via email at: admin@sunnhillsoshc.org.
This feedback will go directly to the senior management staff to review and process.

How to provide feedback on Service Operations?
We value and appreciate feedback into the services’ operations especially in the areas of:

Centre Policies and Procedures;

The Services Quality Improvement Plan;

The Centre Philosophy;

Pedagogical (Educator) professional practice;

Customer service and service delivery.
Families are encouraged to be part of the self-assessment process and provide us valuable feedback we can use to continuously improve our Service. We then keep everyone informed about how the service is progressing in working towards achieving the identified goals.
